It is halfway through service when the oven stops heating. Or the refrigerator starts alarming. Or the dishwasher reaches the end of a cycle and leaves the water exactly where it was.

The first instinct is often to press the same button again, then press it slightly harder. That is understandable. It is rarely a plan.

The first 30 minutes after a piece of commercial kitchen equipment fails are not about repairing the machine. They are about keeping people safe, protecting food and service, preventing further damage, and giving the technician the information needed to respond properly.

A calm response will not make the interruption convenient. It can, however, stop a manageable fault from becoming a much more expensive one.

The first five minutes: make the situation safe.

Start with the immediate surroundings, not the control panel.

If there is smoke, a burning smell, sparking, a suspected gas leak, escaping water near electrical equipment, unusual heat or any other sign of immediate danger, stop using the equipment and follow the emergency procedure for your premises. Keep staff and customers away from the area and contact the appropriate emergency or qualified technical service.

Where it is safe and staff are authorised to do so, take the machine out of service using its normal shutdown procedure. Do not remove panels, reach into moving machinery, bypass a safety device or begin dismantling the equipment. If you are unsure whether an isolator, valve or connection should be touched, leave it alone and wait for qualified help.

Repeatedly restarting a machine is not a harmless test. An oven that trips, a compressor that will not start or a motor that has jammed may be protecting itself from a larger failure. Every forced restart can add heat, pressure or electrical stress.

Minutes five to ten: protect food and service

Once the area is safe, look at what the failure puts at risk.

With refrigeration, keep the doors closed while you assess the situation. Opening the cabinet repeatedly to check whether it still feels cold only allows more warm, humid air inside. Note the time the fault began, check the displayed and independently measured temperatures if this can be done safely, and follow the food safety procedure for your operation. If stock must be moved, use the designated alternative cold storage and record the transfer.

With an oven or cooking appliance, decide which menu items are affected and what can be produced safely on the remaining equipment. A smaller menu communicated clearly to the front of house is usually better than asking another appliance to carry a load it was not specified to handle.

If the dishwasher or glasswasher fails, control the flow of dirty and clean items immediately. Do not allow the pressure of service to blur that separation. Any temporary washing method must follow the approved hygiene process for the business, with the correct products, temperatures and handling.

The aim is to stabilise the operation. Protect the stock, reduce unnecessary movement around the failed machine and give one person responsibility for coordinating the response.

Minutes ten to fifteen: record what actually happened

A technician can do far more with a precise description than with a message saying that the machine is not working.

Before anyone clears the display or switches the equipment off, record the information that is safe and visible:

  • The exact error code or warning message.
  • The time the fault occurred.
  • What the machine was doing immediately beforehand.
  • Any unusual sound, smell, vibration, heat or leakage.
  • Whether the fault appeared suddenly or had shown earlier warning signs.
  • Whether there was a recent power interruption, deep clean, service visit or change in operation.
  • A clear photograph of the display and, where useful, a short video of the symptom.

Find the model and serial number as well. The rating plate is often on the side, rear, door frame or inside an accessible compartment, but its position varies. Do not move heavy equipment or remove a cover to reach it. A photograph taken when the machine is installed is safer and quicker than searching for the plate during a busy service.

This detail helps the technical team identify the correct documentation, likely components and possible parts requirement before attending the site.

Minutes fifteen to twenty: make only operator level checks

Some faults have simple causes. That does not make every check safe for every member of staff.

Follow the manufacturer instructions and your own staff training. Depending on the equipment, authorised operator checks may include confirming that a door is fully closed, a removable filter or tray is correctly seated, an accessible supply has not been switched off, or a control has not been left in an unexpected mode.

Stop at the boundary between operation and repair. Do not open electrical panels, test internal wiring, defeat a door switch, interfere with gas components, introduce unapproved chemicals or tools, or reset a breaker repeatedly. An online video for a similar looking model is not a substitute for the correct manual or a qualified technician.

If one approved check resolves the warning, continue to observe the machine rather than assuming the matter is closed. Record what happened and arrange further advice if the fault returns.

Minutes twenty to thirty: call technical support properly

By this point, you should be able to give technical support a concise and useful account:

  • Your business name, site and contact person.
  • The equipment type, manufacturer, model and serial number.
  • The exact error code and symptoms.
  • When the problem began and whether it is continuous or intermittent.
  • What the machine was doing when it failed.
  • Any safe operator checks already completed.
  • Photographs or video of the display and visible fault.
  • The operational impact, including food or service at risk.

Be accurate about urgency. A failed refrigerator holding temperature sensitive stock is a different operational problem from a preparation machine that has a working alternative beside it. Clear information helps the service team assess priority, prepare the right tools and parts, and avoid losing time on arrival.

After the call, mark the equipment clearly as out of service. Tell the relevant staff what has changed, who is managing the issue and what must not be touched. Continue recording temperatures or other operational information required by your own procedures.

Different equipment creates different priorities

Refrigeration

Time, temperature and door openings matter. Keep the cabinet closed, monitor conditions with an appropriate thermometer and move stock only according to the business's food safety plan. Do not assume that food is safe because the cabinet still feels cool.

Ovens and cooking equipment

Record the programme, temperature and stage of the cycle when the failure occurred. Do not repeatedly power cycle the appliance unless the manufacturer instructions or technical team specifically direct you to do so.

Dishwashers and glasswashers

Protect the separation between dirty returns and clean ware. Record whether the machine stopped while filling, heating, washing or draining. Do not improvise with detergents or rinse aids, as the wrong product or concentration can create a second problem.

Food preparation machines

Blades, stored movement and damaged guards create risks even when the machine appears inactive. Isolate the equipment only where authorised, keep hands and tools clear, and wait for a competent person.

Preparation before the breakdown

The easiest breakdown to manage is the one the team has already discussed.

Keep a simple equipment register containing the manufacturer, model, serial number, installation date, warranty information and service history for each important machine. Add a clear photograph of the rating plate, a copy of the operator manual and the contact details for technical support.

Staff induction should explain normal startup and shutdown, daily cleaning responsibilities, basic warning signs, who may carry out operator checks and who has authority to request a service call. The distinction between cleaning, operation and repair should be unambiguous.

Contingency planning matters too. Know where chilled stock can be moved, which menu items can be suspended, what equipment has genuine spare capacity and how the front and back of house will communicate during an interruption.

Planned maintenance remains the better outcome. It catches worn seals, restricted airflow, scale, loose components and other warning signs before they become a failure during service. It cannot prevent every breakdown, but it improves the odds considerably.

A useful response is a disciplined one

When equipment fails, speed matters. So does judgement. The fastest response is not always the person who reaches for a screwdriver first. It is the team that makes the area safe, protects the operation, records the facts and gives qualified support a clear starting point.
